To Assist the Administrative staff at the Managing
Director/President’s Office in the smooth and efficient running of a
comprehensive office while ensuring high levels of professionalism,
diplomacy and communication skills.
Main Activities:
• Responding to all phone calls in a timely and polite manner
• Providing secretarial, clerical and administrative support to the administrative staff in the MD/P’s office when required
• Assisting with clerical tasks to include typing, filling, maintenance of service logs & data entry.
• Welcoming and assisting VIP visitors and guiding them to the relevant person without undue delays
• Answering emails, phone calls and messages in a professional and efficient manner.
• Monitoring executive drivers and office boys in their daily activities and ensuring that the reception area and office premises are clean and well maintained.
• Ensuring that stationery stock is continuously maintained and informing administration and procurement departments about new inquiries.
• Insure mails are delivered and/ or received in a confidential and efficient manner from/to internal and external parties.
• Keeping Administrative staff in MDP’s office informed about visitors and important messages.
• Maintaining a contact list of internal and external parties contact details and assist executives and section staff in calling external /internal parties when required.
• Liaising with all levels of personnel within United Development Company (UDC) and/or The Pearl Qatar (TPQ).
• Dealing with VIP visitor’s complaints and enquiries in an efficient manner.
• Scheduling interviews and booking of meeting rooms when required
• Assist in other duties as needed & directed.
• Minimum of 5 years as a receptionist & office experience.
• Computer Literate with significant experience of Microsoft Office, Word, Outlook, Excel, Internet, etc.
• Ability to work under pressure considering stress & time management skills, without any supervision.
• Has good organizational & communication skills & possess good Business English skills.
• Must possess the correct tact & judgment to deal with Government Ministries.
• Pleasantly greet local & international companies & the public in general.
