The Receptionist has the delegated authority to monitor, log and
document all incoming and outgoing telephone calls to every members of
staff and employees.
To ensure the telephone system is maintained and fully operational.
To vet all incoming telephone calls and transfer the calls to the respective members of the staff when:
a. Inform the member of staff whom the call is from.
b. To act accordingly after instruction from staff member, i.e. make the connection or take a message etc.
c. Calls shall not be connected directly without having approval from the member of staff to whom the call is for.
d. If no response from the member of staff, contact the Executive Secretary for advice.
e. If the occasion arise whereby contact with the Executive Secretary is not successful, take a message noting:
i. Name of company, ii. Date of call, iii. Contact tel. or fax no. of the caller, iv.Name of caller, v. Time of call
vi. Message if any.
f. Ensure the message reaches the appropriated staff member.
Monitor and log all personnel calls.
Document all personnel calls on the relevant forms.
At the end of each month, forward all documentation to the company secretary.
To obtain an connect /transfer telephone calls requested by the senior members of staff.
Maintain good housekeeping at all times.
To carry out any task deemed necessary when asked by higher authority for the benefit of the business.
