Relay calls effectively and quickly to the relevant parties and where necessary, transmitting accurate messages.
Beware of any VIPs, long-stay and return guests staying in the hotel.
Handle all guest complaints tactfully and pass on to the GSO or Duty Manger immediately for follow- up in situations, which require added attention.
Be sure to use guest's name minimum of twice during conversation.
Handles Reservations and Reservation enquiries in a cordial, prompt and effective manner, to secure added business for the hotel
Closely monitor and action individual and groups reservations, cancellations amendments and update system accordingly.
Ensure an accurate manual filing system for all back-up information is maintained.
Follow-up on outstanding advance deposits.
Ensure effecting guarantee of reservations for maximum yield.
Maintain good relationships with corporate client base and local agents, etc.
Pass on sales leads to the Sales Department from agent inquiries for update and increase of client database.
Ensure all E-Mails are answered within 24 hours of receipt.
Communicate with Sales department to ensure information and follow-up on bookings is completed prior to a group's arrival.
Co-ordinate the arrival and departure of all groups and to liaise with the tour leader as necessary.
Take complete reservations with company names, address and person making reservation, type of room, time of arrival, special request, etc.
Be very particular and take note of cancellations and no-shows, Follow-up as soon as possible to update reasons.
